We encourage team spirit on site and always instruct our staff the importance of cooperation for the benefit of the guest and the operation of a perfect program.
Airport transfer
- Knowledge of airport procedures (including airside arrangements)
- Knowledge of hospitality desks procedure at the airport
- Dealing with lost luggage
- Provision of transfer signage where requested (names typed not hand written)
- Ensuring good access for coaches (to avoid lengthy walking across the car park)
- Management of unexpected security alerts
- Communication to client of early / late arrivals and non-arrivals
- Liaison with airport authorities where appropriate
- Security passes to access through customs
- Management of changes
General transportation
- All transportation (including coaches) to be fitted with air conditioning
- Managing access to the location / venue (if special access is required)
- Ensuring best route in case of peak traffic / accidents / road works
- Management of drivers – all are contactable via mobile
- All drivers are fully briefed on destination / venue (with address and contact details)
- Hostesses are provided on all transportation unless specifically not requested
- VIP transfer are high quality top range vehicle
- All transfers have appropriate luggage store
Accommodation
- Venue Find/negotiating best rates
- Managing free upgrades / early check-ins etc
- Monitoring / highlighting other groups in the property (to avoid clashes)
Group tours
- Local guide with good knowledge of the area
- The guide accompanies the group at all times
- Appropriate transportation
Restaurant / Social event transfers
- Hostess on board transfer (there and back) to check guest numbers on and off
- Managing access to the property (if special access is required)
- Hostess to escort the guests to and from the venue
- Journey Time
Restaurant bookings / Social events
- Knowledge of new properties / changes
- Appropriate reservations made (private rooms reserved where requested)
- Menu Selection
- Provision of menu / drinks options (including dietary requests)
- Pre-event check (making last minute changes where applicable)
- Ensuring the groups satisfaction throughout the evening
- Management (overview) of the evening
- Creative entertainment ideas
- Knowledge of new / unusual venues (hard to get venues) as well as upcoming venues
- Theme / creativity to suit the event
- Liaison between other local suppliers (florists, security, cleaners, lighting etc)
- Source special meals e.g. Kosher if required
- Provision of entertainers to suit the evening and the group
Hostess support
- Hostesses allocated have relevant experience
- Allocation of appropriate hostesses re: age, experience, language skills etc
- Staff is pro-active, positive, confident and giving the right impression
- Hostesses are well presented and easily identifiable with dress code
- Briefed prior to the event
- Attend further briefing with Project manager
- Good knowledge of the local area: Attractions, shopping etc
- Good understanding of English and requested languages
- Mobile phone on site
- Good knowledge of their allocated area (airport, hotel, congress centre)
- Allocation of the same hostesses throughout where possible
Finances
- Highlighting specific deadlines / realistic payment schedules
- Invoices clearly shows dates of the event, percentage to be paid, and are printed on letter headed paper.
Site inspection
- We will only charge you for the actual costs that occur during the site inspection.
- We will try to obtain reductions or complimentary on the various services that will be involved.
- Our own staff and the time spent will be complimentary provided that the group materialises.
- Charges for additional site inspections will be negotiated accordingly.
